This privacy policy informs you about how personal data is collected, processed, and used when you visit our website, apply for, register for, and participate in the AI & Automation Lab, as well as how we use the data in connection with the event and thereafter.

2. Data Processing in Connection with the AI & Automation Lab Website

Website Visits
In principle, it is possible to visit our website without providing further personal data. Personal data is only collected if this is necessary for technical reasons for the use of our website or if you use certain functions or services on our website, e.g., the application form. The processing of this data is necessary to enable the visit to the website and to ensure the long-term functionality, availability, and security of our systems. The legal basis for this data processing is Art. 6 para. 1 lit. b GDPR.

For the purposes mentioned above, the access data is also temporarily stored in internal log files to generate statistical data on the use of our website, to adapt our website to the usage habits of our visitors (e.g., if the proportion of mobile devices increases), and for general administrative maintenance of our website. The information stored in the log files does not allow direct conclusions about your person, and we only store IP addresses in the log files in shortened, anonymized form.

4. Data Processing in Connection with the AI & Automation Lab

4.1 Application & Registration
For application and registration for the AI & Automation Lab, we collect various personal data through our registration form. These include:

This data is referred to below as "participant data." We collect participant data as part of the application process. Required information is marked as such. We use your participant data to plan and organize the event, invite you, and contact you as needed in the course of communication. Tally: For our registration form, we use the external service Tally (BV) (Muidepoort 19/ A, 9000, Ghent, Belgium). As a European service provider, Tally adheres to the GDPR and European data protection principles.

Make: We use Make for automations in our registration process. Make acts as a data processor and processes your data exclusively according to our instructions and in accordance with European data protection principles.

Mailjet: We use the external service provider Mailjet (Mailjet SAS, 30 Rue Blondel, 75002 Paris, France) to send you emails for event registration and, if you choose, to send our newsletters and manage our subscriptions. As a European service provider, Mailjet adheres to the GDPR and European data protection principles.

4.2 Newsletter and Marketing Updates

During registration, you have the option to sign up for the following communications:

a) Newsletter Subscription
You can subscribe to our newsletter to regularly receive information about similar events and relevant content. The legal basis for this data processing is Art. 6 para. 1 lit. a GDPR (your consent).

b) Marketing Updates from Both Organizers
You can decide whether you want to receive marketing updates from both Project A and Make.com. These may include information about products, services, events, and other relevant offers. The legal basis for this data processing is Art. 6 para. 1 lit. a GDPR (your consent).

You can withdraw your consent at any time by using the unsubscribe link in the emails or by contacting us at the contact details specified in Section 1.

In our newsletters, we use standard market technologies that allow us to measure interactions with the email (e.g., opening the email, which links are clicked). We use this data for general statistical evaluations as well as for optimization and further development of our content and customer communication. This is done with the help of small graphics (pixels) embedded in the emails. The data is collected exclusively in pseudonymized form and is not linked to your other personal data. The legal basis for this is our aforementioned legitimate interest according to Art. 6 para. 1 lit. f GDPR.

4.3 Participant List and Partner Access

Make as co-organizer receives access to the participant list to support onboarding, mentoring, and communication. This includes the transfer of your participant data (name, email, company, job title) to Make. The legal basis for this data processing is Art. 6 para. 1 lit. b GDPR, as this is necessary for the proper implementation of the event.

4.4 Event Participation

During the AI & Automation Lab, we may use your participant data for organizational reasons (to determine your participation or to contact you). The legal basis for this data processing is Art. 6 para. 1 lit. b GDPR.

4.5 Recordings (Photos and Videos)

During the event, recordings (photos and videos) will be made for documentation and promotional purposes. These may be used on our websites, social media profiles (LinkedIn, Twitter, YouTube), and in other marketing materials.

We want to use the images and recordings made in connection with the documentation of the AI & Automation Lab. For this purpose, we want to first edit individual recordings (e.g., by selecting the image section) and upload the edited recordings to websites and social media. The respective websites are freely accessible on the internet and thus retrievable worldwide. The subpages of these websites, including any recordings, can be found via search engines.

You can contact us at the contact details specified in Section 1 and inform us that you object to the use of recordings that identify you. The legal basis for this data processing is Art. 6 para. 1 lit. f GDPR, based on our legitimate interest in documenting and promoting our event as well as our external representation.

4.6 Follow-up Updates

We also use your participant data to provide you with further information about workshops, materials, or presentations from us or our speakers, or further information about the AI & Automation Lab. The legal basis for this data processing is Art. 6 para. 1 lit. b GDPR.

4.7 Future Events

We store the fact that you participated in the AI & Automation Lab this year in our contact database to inform you by email about similar future events.

The legal basis for this data processing is Art. 6 para. 1 lit. f GDPR, based on our interest in promoting our future events. We store this data for the duration of our business relationship. If you do not wish further contact, you have the right at any time to object to this use of your data. Please do not hesitate to contact us at any time at the contact details listed in Section 1. 5. Links to Other Websites and Online Content

Our website may contain links to websites and online content of other providers that are not affiliated with us. When you activate these links, we naturally have no influence on what data is collected and stored by the respective providers. Since the collection and processing of data by third parties is outside our sphere of influence, we cannot accept responsibility for this.

We use services whose providers are partly based in so-called third countries (outside the EU or EEA) or process personal data there. If there is no adequacy decision by the European Commission for these countries, we have taken appropriate measures to ensure adequate data protection.
